Production notes for CMOA newsletter creation and workflow

Technical Requirements

• FTP account for artandnaturalhistory.org domain

  • CMP-IT can create. Submit HelpDesk ticket.

• VPN access

  • The artandnaturalhistory.org web server is hosted internally and therefore access to it requires that users be on site or access while connected via VPN.

  • CMP-IT support will be required to download and install software to your local machine

• FTP client to access artandnaturalhistory.org web server, like Filezilla, Cyberduck, or similar

  • CMP-IT support may be required to download and install software to your local machine

• Luminate account

  • Lumiate is managed by the Development department and access will have to be requested through that department

• Text editor, like Sublime, Atom, Dreamweaver, or similar

  • CMP-IT support may be required to download and install software to your local machine

Skill Requirements

• HTML/CSS

• Understanding of accessibility

• Understanding of newsletter design and production best practices

• Some experience with Photoshop of similar graphic editor

Hosting Images and “View in Browser” newsletter version

1. Access web server with FTP client

2. Once connected, go to artandnaturalhistory.org > news > yyyy > CMOA > campaign-name

3. Create folder for that particular newsletter using the mmddyy naming convention

4. Upload image files being sure to follow naming conventions established in previous newsletters.

5. Copy HTML file from previous newsletter to use a starting point

   1. Change file name to reflect the newsletter

   2. Change all file paths to reflect the new folder

6. Edit contents as needed
